What the Planning Session Covers

The session runs for around 30 to 45 minutes over video call. We start with the basics: when you're thinking of travelling, how many people are in your group, what you've already seen in Southeast Asia if anything, and whether there are hard must-dos or things you'd rather skip.

From there we talk through what a realistic Northern Vietnam route looks like for your timeline — what fits comfortably, what feels rushed, and where most people get the balance wrong. We'll also cover budget expectations honestly: what things genuinely cost here, where local pricing saves you money versus tourist-trail rates, and roughly what a trip like yours tends to run. We won't give you vague ranges — if you tell us what you want, we'll tell you what it costs.

By the end you'll have a rough skeleton route, a clearer sense of what's possible in your timeframe, and specific answers to whatever was puzzling you beforehand. You won't walk away with a polished itinerary document — that comes later if you want to go further — but you will know whether Northern Vietnam fits your trip, and what that trip could reasonably look like.

Who Runs It and What They Know

Your session will be with Tom, who has been living and working in Northern Vietnam for several years. He has travelled every route we offer, which means that when he says the overnight train to Sapa is worth the small discomfort or that a particular Ha Long Bay operator consistently delivers, it is because he has done it himself — not because it earns a higher margin.

We are a small team, not a call centre. There is no anonymous booking form routing you to whoever is free that week. When you book a session, you'll know in advance who you're speaking to and what to expect. Tom keeps the number of consultations manageable each week so the conversations stay useful rather than rushed.

What Happens Afterwards

After the call, if you'd like to go further, we put together a draft itinerary within a few days. This is a proper document — day by day, with specific hotels, transport options, and a clear cost breakdown — not a vague outline. You read it, sit with it, ask questions, and decide whether it feels right.

There is no pressure to commit on the call and no chaser emails if you decide not to proceed. If you read the draft and want to adjust things, we adjust them. If the timing turns out to be wrong or you decide to go somewhere else entirely, that's fine — we'd rather you take your time than rush into a trip that doesn't suit you.

The only thing we ask is that you let us know either way, so we're not left wondering. Everything else is entirely on your terms.

No obligation means exactly that. Plenty of people have a session with us and don't book a trip — either the timing wasn't right or they went a different direction. That's fine. We'd rather be useful than pushy.

What to Think About Before We Speak

You don't need to have done any research before the call — that's partly what we're here for. But the more you can share upfront, the more productive the 30 minutes will be. Here's what's worth thinking about in advance:

  • Rough dates or a timeframe — even 'sometime in October or November' is plenty
  • How many people, and ages if there are children
  • Roughly how long — a week, ten days, two weeks
  • Your travel style — are you happiest in simple, local places or do you prefer a comfortable hotel at the end of the day?
  • Any firm must-dos — Ha Long Bay, Sapa, a cooking class, a specific type of food
  • A ballpark budget — giving us a figure means we can be specific rather than general

Is it really free?

Yes. There's no charge for the planning session, no card details required to book, and no catch. We offer it because a short conversation answers questions that would otherwise take a dozen emails to resolve. If you don't go ahead with us, you still leave the call knowing more than when you came in — and that's fine by us.

What if I'm not ready to book a trip yet?

That's actually a good time to speak to us. If you're still in the early stages — thinking about Vietnam but not sure of dates or even whether it fits your trip — we can help you understand what's realistic, what time of year suits different parts of the north, and roughly what things cost. There's no obligation to proceed and we won't follow up with sales emails.

Do I need to know Vietnam well to make use of the session?

Not at all. Some people come to us having done months of research; others haven't looked at a map yet. Both work equally well. We'll pitch the conversation at wherever you are and fill in the gaps. If anything, it's sometimes easier starting from scratch — no preconceptions to unpick.

Can I just email instead of doing a video call?

Yes. If a call doesn't suit you — wrong timezone, young children in the background, or you simply prefer to write — email us at hello@fewdaysvietnam.com and we'll answer your questions in writing. It tends to take a little longer to get to a useful answer than a focused conversation does, but it works just as well for a lot of people.
