What 'Bespoke' Actually Means Here

Most tour operators use the word bespoke to mean they'll swap your name into a template. We don't do that.

When we say bespoke, we mean your trip is built from scratch based on a real conversation about what you actually want. How do you like to travel? Are you happy with an early start to catch mist over the rice terraces, or would you rather take things slowly? Do you want a homestay or a hotel with a proper bathroom? Do your children lose patience in museums? Is this your first time in Southeast Asia, or your tenth?

None of that fits a template — and honestly, it shouldn't. Northern Vietnam has enough variation, from the busy lanes of the Old Quarter in Hanoi to the silence of a limestone valley in Ninh Binh, that two trips covering the same geography can feel completely different depending on how they're designed.

What you won't get from us: a list of boxes to tick on a form, a generic seven-day circuit, or a price list before we've understood what you're actually after. What you will get is a draft itinerary that's genuinely shaped around you — and a candid conversation if something you're hoping for isn't realistic.

How We Build Your Trip

The process is straightforward, and we try to make every step feel light.

Step 1 — The free planning session. Everything starts with a conversation. Usually a video call, though email works if you prefer. We'll ask about your dates, your group, what interests you, and anything that matters to you. You don't need a detailed brief prepared; most people come with a rough idea and a few questions. That's fine. This session costs nothing and commits you to nothing.

Step 2 — Your draft itinerary. After the call, we put together a first draft — a day-by-day outline with accommodation options, guides, transport, and a clear price breakdown. This usually comes back to you within a few days. It's a starting point, not a fixed proposal.

Step 3 — Refinement. This is where most of the real planning happens. You might want to add a day somewhere, drop a leg entirely, swap a hotel category, or simply ask what we'd honestly do in your position. We go back and forth until it's right. Most trips take two or three rounds; some take more. We don't cap revisions.

Step 4 — Confirmation and logistics. Once you're happy with the itinerary and the cost, we handle all the bookings — guides, drivers, accommodation, boat trips, transfers. You'll have a detailed day-by-day document and a direct line to us before you travel and throughout your trip.

Timelines vary by season. If you're planning for peak periods — October to December or March to May — a little lead time helps with availability, particularly for Ha Long Bay boats and Sapa accommodation. That said, we've turned things around quickly when needed.

What's Included — and What's Transparent

Here's what a typical trip includes, and what we handle on your behalf.

On pricing: your quote is itemised. You'll see what each component costs rather than a single lump sum with no breakdown. If you want to adjust the budget — downgrade accommodation to add a cooking class, or put more toward a better boat — we can show you exactly what that means in numbers. There are no hidden booking fees.

What we don't include: international flights, travel insurance, and personal spending. We'll point you toward sensible options for the first two if you'd like a steer, but we don't book them and we don't take commission on them.

• **Accommodation** — hotels, homestays, or boutique guesthouses depending on what suits you. We recommend places we've stayed in ourselves, not just properties with good commission rates.
• **Private guides** — for day tours in Hanoi, Ninh Binh, Sapa, or wherever you're heading. All English-speaking and vetted by us directly.
• **Transport** — private car transfers, sleeper trains where they make sense, and the boat or cruise for Ha Long or Lan Ha Bay where relevant.
• **24/7 contact** — you're not handed to a local agent once you land. You have a direct line to us throughout your trip.
• **Honest recommendations** — if a cheaper option is genuinely as good as the pricier one, we'll tell you.

Why Local Pricing Makes a Real Difference

When you book through a large online platform or an operator based overseas, you're often several steps removed from the people actually running your tour. Each step adds a margin. By the time the cost reaches you, you're paying a premium that has nothing to do with the quality of the experience.

We live and work in Vietnam. We deal directly with the guesthouses, guides, drivers, and boat operators we use — and because we work with them consistently, we get rates that aren't available through resellers. That saving gets passed to you.

On accommodation, you'll often find meaningful differences compared to booking through an OTA, particularly in less-visited areas where the best places don't have a strong online presence. On guided experiences, the difference can be more noticeable, because the mark-up on resold day tours is frequently significant.

This isn't a discount pitch. The point isn't that we're the cheapest option — we're not trying to be. The point is that your money goes further because it's closer to the source. You get more experience for your budget, or the same experience for less.

It's also worth saying clearly: we don't recommend things because they pay us well. If the best option for your itinerary carries a lower margin for us, that's what we recommend. We only use what we'd confidently send our own family on.

When you travel, things change. A transfer is delayed. Weather closes a route. Occasionally something needs a quick decision.

Having someone who knows your trip, knows the people running it, and is physically in the same country makes a real difference in those moments. You're not emailing a support inbox or navigating a booking platform's customer service line from a guesthouse in Sapa.

If something needs to change on the ground, we can usually sort it quickly: rerouting a transfer, finding alternative accommodation, rescheduling a guide.
